Data collected
We collect the information needed to manage patient exchanges via WhatsApp: message content, correspondent name and phone number (wa_id), message timestamps, and related technical metadata (message identifiers). We may also keep internal follow-up notes (draft replies, summaries, appointment confirmations) generated by the team or AI assistant during processing.
Processing purposes
WhatsApp data is used only to:
- receive and display patient messages in the practice inbox;
- suggest and prepare replies (drafts) by reception or the AI assistant;
- manage, confirm, and schedule appointments;
- provide customer support and follow up on care-related exchanges.
Legal basis
Processing is based on performing a contractual relationship / managing appointment requests and on the practice's legitimate interest in providing a secure, responsive customer service. Where required, we obtain explicit consent for additional processing (for example marketing campaigns).
Sharing and processors
Messages pass through the WhatsApp API (Meta), which acts only as a technical processor — we do not sell your data to third parties. Data is hosted and processed by Convex (backend / database), Vercel (website hosting), and any other technical provider clearly indicated during processing. All our providers are contractually required to protect data.
Retention period
Messages and conversations are kept for 24 months by default, or until you request deletion. Technical logs may be kept longer for operational and security reasons.
Security
We apply technical security measures (TLS encryption in transit, restricted access to admin tools, access controls) and organisational measures. Only our authorised reception staff can view your messages.
Your rights
You may request: access, rectification, erasure, restriction of processing, objection, and data portability. To exercise your rights: email perla.podiatrist@gmail.com or perla.dzialowski@gmail.com. We respond within legal timeframes.

Legal basis
We process your data based on your consent (contact request), performance of care services, or our legitimate interest in responding to your enquiries.
Data collected
We may collect: name, contact details (phone, email), WhatsApp or email messages, information related to your care request, and technical browsing data (cookies, anonymised IP address). WhatsApp exchanges are covered in a dedicated section below.
Retention period
Contact data is kept for as long as necessary for the therapeutic relationship and legal obligations. Browsing data is retained for a limited period in accordance with regulations.
Data transfers
Your data is mainly hosted and processed in Israel. Israel is recognised by the European Union as providing adequate protection of personal data.
